How to Negotiate Salary in the USA (2026): Scripts, Timing, and What Not to Say

Negotiating feels rude to many people raised outside U.S. work culture — but here, it’s expected. Recruiters routinely leave room precisely because they anticipate a counter. Not negotiating doesn’t read as polite; it just leaves money behind.

Do the Research First

Your leverage comes from knowing the market, not from how confidently you speak. Look up the range for your title, industry, and metro area — pay varies enormously by city. Many states and cities now require employers to post salary ranges in job listings, which is the best free data available; look at comparable postings even if yours didn’t include one.

Decide two numbers before any conversation: your target (ambitious but justifiable) and your walk-away (the point below which you decline). Writing them down keeps you from improvising under pressure.

Don’t Name the First Number

When asked early what you’re looking for, deflect once. Something like: “I’d like to learn more about the scope first — what range has the team budgeted for this role?” If pressed, give a researched range rather than a single figure, and anchor toward the top of it.

Note that in many U.S. states, asking about your salary history is prohibited. You never have to disclose what you currently earn, and you shouldn’t — past pay anchors the offer to your old market, not this one.

The Counter, in Three Sentences

Once you have a written offer, respond warmly and specifically:

“Thank you — I’m genuinely excited about this role. Based on my research for this market and the scope we discussed, I was targeting closer to $X. Is there flexibility to get there?”

That’s the whole thing. Then stop talking. The most common mistake is filling the silence by immediately softening your own ask. Let them respond.

Base Pay Isn’t the Only Lever

If base salary is capped, these are often easier for a manager to approve: signing bonus, equity, an earlier performance review, extra PTO, remote or flexible schedule, professional development budget, relocation help, or a title adjustment. A title change costs nothing today and raises your floor at the next job.

Also compare the whole package: employer retirement match, health premium costs, HSA contributions, and bonus structure can outweigh a modest base difference.

💡 Tip: Negotiate over email when you can — it gives you time to phrase things carefully in a second language and creates a written record. And never accept on the spot, even for a great offer. “Could I have until Thursday to review?” is standard, expected, and costs you nothing.

“Thank you — I’m genuinely excited about this role. Based on my research for this market and the scope we discussed, I was targeting closer to $X. Is there flexibility to get there?”

“Could I have until Thursday to review?”
